This Privacy Policy explains how PULSS (operated by PULSS Ltd) collects, uses, stores, and protects personal information when you use our platform and website.

Who we are

PULSS provides a workplace operations platform used by facilities management teams, cleaning contractors, and workplace managers to run checks, track issues, and report on service standards.

For the purposes of UK and EU data protection law, PULSS Ltd is the data controller. You can contact us at info@pulss.cloud.

Information we collect

Account information: your name, email address, and password when you register or are invited to a workspace.

Workspace data: company name, site details, check records, inspection results, issue notes, photos, and any other operational information added by your team.

Usage data: how you interact with the platform, including pages visited, actions taken, and session timing, used to improve reliability and experience.

Communications: messages you send to our support team.

How we use your information

To provide and operate the PULSS platform, including checks, issue tracking, reporting, and notifications.

To manage your account, authenticate you, and maintain the security of the service.

To respond to support requests and communicate about your subscription.

To improve the platform based on how it is used.

PULSS does not sell your personal information to third parties.

Legal basis for processing

We process personal data on the following bases: performance of our contract with you (operating the platform); our legitimate interests (platform security, improving the service, fraud prevention); compliance with legal obligations; and, where required, your consent.

Sharing your information

We share data with trusted service providers who help us operate the platform, including cloud infrastructure (Supabase), email delivery (Resend), and payment processing (Stripe). These providers are bound by data processing agreements.

We may disclose data if required by law, regulation, or legal process.

We do not share your operational or workspace data with other customers or third parties for commercial purposes.

Data retention

We retain your personal data for as long as your account is active or as needed to provide our services.

After account closure, we retain data for up to 90 days to allow recovery, then delete it unless longer retention is required by law.

You can request deletion of your data at any time by contacting info@pulss.cloud.

Your rights

Under UK GDPR you have the right to: access the personal data we hold about you; correct inaccurate data; request erasure; restrict or object to processing; and data portability.

If you are unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

International transfers

Some of our service providers may process data outside the UK or EEA. Where this occurs, we ensure appropriate safeguards are in place, including standard contractual clauses approved by the ICO.

Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or via the platform. The updated date at the top of this page shows when it was last revised.
